Accounts Administrator

Cork - Ballincollig

Our Ballincollig based client are seeking a part time Office Administrator (Maternity

leave cover – until approx March 2026).

Your role as an office administrator will entail handling many aspects of

administrative operations within the organisation and providing high level of support to

management and staff. The ideal candidate would possess a strong work ethic with a high level of initiative and enthusiasm and be able to work collaboratively or independently. Strong IT skills and experience of accounting software such as QuickBooks or Sage are a requirement.

Responsibilities and Duties include:

– Use of accounting software (QuickBooks) for accurate and efficient financial record-keeping and production of management reports as required.

This includes use of QuickBooks to:

– Handle all accounting tasks including invoicing, expense tracking, bill payments.

– Prepare bi-monthly VAT returns and monthly bank reconciliations.

– Logging staff project hours on a weekly basis.

– Debtor management.

– Support with Monthly Payroll

– Process payment of wages and emailing of payslips to all personnel.

– Set up all new projects on our database, organizing data and filing project information.

– Collate & prepare documentation for e-tender submissions.

– General office management duties including:

– Answering phone calls, dealing with emails and queries and liaise with suppliers and clients.

– Track stocks of office supplies and place orders when necessary.

– book transport & accommodation as required.

– Create and update databases and records as necessary.

– prepare presentations as required.

– update social media as required.

– Update company policies as necessary.

– Organize company events.

– support management team with all administrative tasks as directed.

Requirements:

Experience of 3 years or more in a similar role.
Strong MS Word / PowerPoint / Outlook/ Excel knowledge.
Excellent communication/ interpersonal skills and organisational abilities.
Experience in accounts/ bookkeeping using Sage/QuickBooks.
Salary & Hours:

Depending on the experience level, pay: starting at 20 euro per hour

Days & hours are flexible and seeking someone who can work betwen 20 to 30 hours per week.

Job Types: Part-time, Fixed term

Contract length: 3-4 months
